Challenge
BeYou sells a personalized totem map, a document built around nine animals the client chooses, each with its own imagery, descriptions, and tailored lesson text. The problem was twofold. The original product was a basic PDF, functional but plain, and underselling what BeYou could charge for it. And fulfilling each order was done entirely by hand: pulling the right content for each of the nine animals, placing nine card images in the correct order, formatting every page, exporting the document, then manually copying all nine animals into the client's contact record one field at a time. A single map took over an hour and a half of focused, repetitive work, and every manual copy-paste was a chance to introduce an error, a slow, costly process attached to a product that looked cheaper than it was.
Strategy & Execution
I tackled both halves. First I redesigned the totem map itself, turning a plain PDF into a beautifully designed, fully branded, multi-page product worth selling at a premium. Then I built an AI automation, powered by Claude, that produces and delivers that product on demand from a single short brief, with no manual production at all.
To fulfill an order, the operator supplies four things: the client's name, gender, nine chosen animals, and email. From there the system takes over. It validates the nine selections, pulls each animal's imagery and personalized content from the data source, duplicates the master design template I built, and assembles every page, placing the nine card images in the correct grid order, inserting the right descriptions and gender-specific lesson text, and personalizing the greeting and name throughout. The moment the map is finished, the automation writes all nine animals straight into the client's contact record, in the right fields and the right order, and attaches the finished map to that record so it appears in the member's own portal, no more emailing files back and forth. The member just logs in and it's there. The branded template stays fixed and protected, so the output is premium and identical in quality every single time.
Results
BeYou went from a plain PDF, emailed out by hand after more than ninety minutes of work, to a beautifully designed premium product that's produced and delivered in about five. The redesign raised what the map is worth; the automation made it effortless to deliver, eliminating the repetitive production work, the copy-paste errors, and the manual email send all at once. Every map comes out consistent and on-brand, every contact record is correct on the first pass, and every member can open their map anytime from their portal instead of digging through email. BeYou turned its most labor-intensive product into one of its most scalable, better-looking, faster to deliver, and effortless to access.
